A. General purpose of the position:
Perform secretarial duties in support of general medical office activities to relieve medical professional personnel of clerical and administrative details and to maintain an efficient and effective operation.
Be Translator/ Interpreter for Doctors

B. Key duties and responsibilities:
1. Welcoming
- Greet and receive patient/visitors
- Check patient identify, ascertain purpose of visit
- Direct patient to appropriate staff
- Provide information to patient by respect FV policy

2. Telephone/email handling
- Answer incoming telephone calls
- Record and transmitt phone calls or messages to relevant people.
- Check email every day to be updated with internal news, receive supervisor's instruction and to handle patient's request
- Write understandable and professional reply by respect of FVH email templates

3. Booking appointment and scheduling
-Schedule patient’s appointments for consultations, x-rays, lab tests, physical therapy, MRI’s, CT scans...
- Arrange unscheduled patients
- Arrange refferals to other health care providers
- Get confirmation of appointment 1 day prior consultation

4. Orion System using
Technical expertise of Orion system using: Appointment, Registration, Clinic, Scan Management and other modules when applicable:
- Open visit and charge consultation/procedure fees
- Print forms
- Scan documents

5. Admin supporting to Doctor.
- Update consultation schedule of doctors
- Organize and arrange patient’s queue with appropriate and efficient manner
- Prepare patient file, necessary documents for consultation
- Prepare and help doctor to complete patient files for admission (medical treatment or operation)
- Follow patient’s results, assist doctors to explain and give results to the patient
- Provide information to patient and their family about FVH medical and non-medical services within knowledge and authority (insurance, admission, quotation, package… )
- Manage medical records and correspondence files
- Transmit correspondence and medical records by mail, e-mail, fax

6. Being interpreter/translator
- Interpret for doctors/patients and patient family
-Translate medical documents related to OPD patient (medical report/certificate, results, patient education materials, procedures…)

7. Reporting
- Report difficulties with patient, patient’s complaint
- Make other reports when require

8. Training and meeting
- Train and supervise new medical secretary
- Attend compulsory training and meeting organized by the hospital
- Update job knowledge by participating in educational opportunities; reading professional publications

9. Management of reception area and consultation room
- Keep reception counter in tidy and clean
- Organizing and storing paperwork
- Order and maintain stationery and equipment.

Yêu cầu công việc

1. Qualification: Bachelor's degree , Administrative, Business, Social Sciences or Foreign languages discipline

2. Experience: 02 years experience in customer service or teaching English, secretary or job related
